Documentation available for an order

The records associated with a PEPTAS order.

How documentation is agreed

State the documents required when submitting the request for quotation, and identify the material, catalog ID, sequence or internal project reference to which each document must relate. State whether the document must be available for review before written acceptance.

Analytical documentation available for the material and batch is confirmed in the quotation. The quotation is therefore the controlling record of what is available before the order is formed. A catalog entry, an earlier order or documentation for a similarly named material does not establish availability for a later material or batch.

Certificate of analysis

A certificate of analysis identifies the material, the batch or lot, the test method, the result, its date and the issuing laboratory or source, and applies only to the sample and batch it names.

A certificate is not a government approval, a safety guarantee or a clinical endorsement, and it may be redacted for proprietary method detail.

A certificate of analysis is a batch-linked analytical record. Its scope is determined by the particulars and analytical statements shown on the document. It must be read as a complete record and not detached from the material, batch or source to which it relates. Its statements do not transfer to other material carrying the same or a similar name.

The certificate is issued by the laboratory or source named on it and forms part of the release documentation issued by the production facility under contract. It is not issued by PEPTAS.

Synthesis, analytical testing and batch release are carried out by the production facility under contract. PEPTAS specifies each order, receives the release documentation and supplies under its own name and terms.

Safety data sheet

A safety data sheet is supplied where available for the material. It is a material-level hazard, storage and handling reference rather than a batch analytical record. Availability is confirmed in the quotation and must not be inferred from the presence of a sheet for another material, another form or an earlier order.

Chemical identity record

The chemical identity record is the stable item-level reference for a catalog material. It separates identity data from batch-specific analytical documentation and supports reconciliation across requests, quotations and receiving records. Each published catalog entry states the identity fields verified for that entry.

Formal name The primary chemical name stated for the material.
Synonyms Alternative names used to reconcile records and correspondence.
CAS number The registry identifier stated for the listed material.
Molecular formula The elemental composition associated with the stated identity.
Molecular weight The mass value recorded for the stated chemical identity.
Physical form The form in which the listed material is described.
Storage reference The storage statement or cross-reference published for the item.
Identifiers The catalog ID and other identifiers shown for that material.

A field is published for an entry only where it is stated in the record for that entry. An identity record does not establish the ordered sequence, modification pattern, counterion, purity result or suitability for a particular laboratory method.

What physically arrives

Physical form, container type and closure are stated in the documentation supplied with the order. Quality and documentation describes packaging, labelling and traceability, and what to check at receipt.

Order and packing records

The written quotation records the material or sequence, quantity, format, documentation confirmed and quotation validity. Written acceptance forms the order, and the invoice is issued against that accepted order. These records should be retained together so that the accepted terms remain linked to the material and batch documentation.

Where a separate packing record is issued, it should be read together with the written quotation, written acceptance and invoice. Its function is to connect the physical presentation to the relevant order; it does not replace the chemical identity record or batch analytical documentation.

Requesting a document before ordering

Identify each required document in the request for quotation. Include the material or internal reference, the document type and whether the document must be reviewed before written acceptance. PEPTAS states in the quotation what is available for the material and batch. A requirement that is not stated in the request should not be assumed to be included in the quotation.
